Documents Required to Attach Your Car
कंपनी या सरकारी दफ्तर में गाड़ी लगाने के लिए कौन-कौन से कागज़ चाहिए, पूरी लिस्ट।
Cars get rejected, and payments get held, mostly because a paper is missing or has expired. Go through this list and get your car, driver and owner documents ready before you apply for a company, MNC or government contract.

Vehicle documents
- Registration Certificate (RC) showing the car as a transport vehicle. White plate private cars are not accepted. See white plate vs yellow plate.
- Permit: a state taxi or contract carriage permit for local duty, or an All India Tourist Permit for interstate work.
- Fitness certificate. For transport vehicles it is renewed every 2 years until the car is 8 years old, and every year after that.
- Commercial insurance with passenger liability. Government contracts on GeM want comprehensive cover with unlimited third-party liability.
- PUC certificate, valid on the day.
- AIS-140 tracking device and emergency button fitment certificate, with the device registered on VAHAN, for public service vehicles.
- Road tax / state tax receipts as per your state.
- Financier NOC if the car is on loan and the contract or conversion needs it.
- In the car: a first-aid kit, which the Central Motor Vehicles Rules require. Also a fire extinguisher if the contract asks for one. GeM cab contracts do.
Driver documents
- Driving licence. An LMV licence is legally enough to drive a transport car under 7,500 kg; the Supreme Court confirmed this in 2024. Some states and clients still ask for a badge, though. You can verify a licence on Parivahan Sarathi.
- Experience: GeM contracts ask for at least 2 years of driving.
- Police verification through your state police portal. MNC transport platforms commonly want a certificate not older than 12 months, renewed every year.
- Aadhaar / photo ID and address proof.
- Medical fitness, for government contracts.
- Photographs for the photo ID card that many clients give drivers.
Owner and business documents
- PAN card. You need it to get paid and for TDS.
- Aadhaar card and address proof.
- Bank account details: a cancelled cheque or passbook copy, for bank transfers.
- GST registration if your turnover crosses the limit, or if the client asks for it.
- Udyam (MSME) registration. Optional, but it helps in government bids, where MSEs can get EMD exemption and other relaxations.
- Signed agreement with the vendor or client. Keep a copy.
Extra requirements by sector
Government offices
GeM bids add their own conditions. Common ones are the model year (often 2022 or newer), a limit on km already run (often 50,000 km), driver uniform and ID, and sometimes ESI/EPF records for drivers. The full list is on our government offices page.
MNCs and IT companies
Safety checks are stricter here. Expect GPS tracking, police verification every year and driver background checks. For night shifts with women employees, there are state rules on escorts and routes too. See our MNC page.
Private companies
This is where requirements differ the most. A small company may only look at the RC, insurance, permit and licence. Bigger ones run audits like an MNC would. See attaching with companies.
Tips to avoid delays
- Keep a folder of every document, plus scans on your phone, and write down the expiry dates.
- Renew insurance, fitness, permit and PUC before they expire. One expired paper can stop your duty and bring penalties.
- The name on the RC, insurance and bank account should match.
- Never hand over originals. Self-attested copies are enough.

Frequently asked questions
What documents are required to attach a car with a company?
For the car: commercial RC, valid permit, fitness certificate, commercial insurance, PUC, and the AIS-140 GPS fitment certificate where it is asked for. For the driver: licence, ID and police verification. For the owner: PAN, Aadhaar and bank details. MNCs and government offices may ask for more.
Is GST registration needed to attach a car?
Generally, GST registration is needed once your yearly turnover from services goes above the GST registration limit, which is lower in some special category states. Many government bids ask for a GST certificate anyway. If a vendor pays you, ask them how GST is handled. Check your own case with a chartered accountant.
How do I get police verification for my driver?
You do it on your state police's citizen services portal. You can reach it from the Digital Police Portal (digitalpolice.gov.in). Many states let you apply for employee or domestic help verification online. A driver can also apply for a police clearance certificate.
Should I give original documents to the vendor?
No. Give self-attested photocopies or scans. If they need to verify, show them the originals and take them back. Your original RC, insurance and permit stay with you or in the car, as the law requires.
