Factories, offices, BPOs, hospitals, schools and startups all need cars every day. They move staff from home to work and back, carry senior people around and send engineers to sites. Thousands of these companies would rather not own the cars, so they hire commercial cars on monthly packages. This page covers how that work is set up, how it is paid, what to check in the contract and how to get your car attached.

What attaching a car with a company means
Attaching means your commercially registered car goes on regular duty for a company, usually with you or your driver at the wheel, for a fixed amount each month. The company gets a car it can count on without buying, servicing or insuring one. You get steady work and stop waiting on random bookings.
Sometimes the deal is direct, between you (or a small operator) and the company. Often it goes through a transport vendor who holds the company contract and attaches cars from owner-drivers. Big companies mostly use vendors. Plenty of small and mid-sized businesses hire straight from local operators.

How companies hire cars
The admin or transport team starts by deciding what it needs: car type, number of cars, hours, km and shifts. Then it asks transport vendors or local operators for quotes and compares their rate cards.
- The shortlisted cars and drivers are checked: documents, car condition, driver verification.
- An agreement is signed, usually for 6–12 months. It has the rate card, extras, penalties and notice period.
- Duty begins. Trips are recorded on daily duty slips or in an app, the bill goes in monthly, and payment comes by bank transfer.
More and more large companies use employee transport software. It tracks every trip by GPS and matches invoices against trip logs. If there is a billing dispute, this data decides it, so keep your GPS working and your logs correct.
Which cars companies want
- Sedans (Dzire, Aura, Amaze, Tigor, Etios) are in the most demand, for executives and small pickup-drop groups.
- MUVs (Ertiga, XL6, Innova, Innova Crysta) cover routes with 4–6 employees, and senior management.
- Tempo Travellers: shuttles and shift transport for bigger groups.
- Hatchbacks: mostly pool cars and errands. Not many pickup-drop routes.
- EVs are wanted more and more by companies with sustainability goals, especially in Bengaluru and Delhi NCR.
Private companies are usually easier about car age than government offices and MNCs. Clean seats, cold AC and valid papers are still a must. Commercial registration is the law. See why a white plate car cannot be attached.
How companies pay: contract models
1. Fixed monthly package
This is the most common setup. You get a fixed amount for set km and hours each month, plus a rate for extra km and extra hours. Toll, parking, night duty and outstation trips are usually charged on top.
2. Per-day or per-km
Some companies pay per duty day on a slab like 8 hours / 80 km. Others pay per km with a daily minimum.
3. Fixed base plus trips
A smaller fixed amount, plus pay for each trip. You see this in pickup-drop work, where the number of trips goes up and down with hybrid working.

Contract checklist before you sign
Get all of this in writing:
- Client company name and where you report
- Monthly amount, km and hours included, working days
- Extra km, extra hour, night and outstation rates
- Who pays fuel, tolls and parking, and how you get that money back
- Payment date, payment by bank transfer, and which documents you must give to get paid
- Cuts and penalties for late reporting, breakdowns or days off
- What happens when your car is in the workshop and they need a replacement
- Contract period, notice period, any deposit and when you get it back
- Who handles GST, and how much TDS will be cut

GST and TDS when you bill a company
Billing a company directly brings in a few tax rules. Treat this as general information and confirm your own case with a chartered accountant.
GST rate. Renting a passenger vehicle with fuel cost included is taxed at 5% without input tax credit, or 18% with full input tax credit from 22 September 2025 (it was 12% before that). This comes from CBIC Notification 15/2025.
Reverse charge. When an individual or a firm that is not a company rents such a vehicle to a company (body corporate) under the 5% option, the company pays the GST under reverse charge. CBIC Circular 130/49/2019 clarified this. That circular was written before the 2025 rate change, so check the current position with your CA.
- GST registration is generally needed once your service turnover crosses the GST registration limit for services. The limit is lower in some special category states.
- TDS: companies usually deduct it on vehicle hire with driver as a contract payment, at 1% for individuals and HUFs and 2% for others, above the threshold. From 1 April 2026 this sits under Section 393 of the Income-tax Act, 2025. The rates are the same.
- Presumptive income: the special per-vehicle scheme (Section 44AE) is only for goods carriages. Taxi and car rental income can use the general presumptive scheme for small businesses (Section 44AD, now consolidated in the 2025 Act).

Can I attach a car bought on EMI?
Yes, if it is commercially registered and insured and your financier has no objection. Do the maths first. The EMI does not stop in a slow month, so the contract has to cover fuel, EMI and other costs and still leave you something. Get a written work order before you buy a new car for a contract.
Which is better: company, MNC or government office?
Government offices give long contracts with clear rules, but they want newer cars and the penalties are strict. MNCs give steady work and run strict safety audits, and there are often night shifts. Private companies are the easiest about car age and terms. Their terms also differ a lot from one company to the next, so read the written agreement closely.
Does the company deduct TDS from my payment?
Usually, yes. Hiring a vehicle with driver to carry employees is generally treated as a contract payment for TDS: 1% for individuals and HUFs, 2% for others, once payments cross the yearly threshold. From 1 April 2026 this comes under Section 393 of the Income-tax Act, 2025. You can claim the TDS credit when you file your return.
